Downloading Multiple Quotes and Invoices

Easily download your quotes and invoices in one of two ways: either as a data table, or as PDF. Choose the data table method if your main focus is raw information a detailed record-keeping (this is more common), or download as PDF if you'd like to keep the styling intact.

Export as a Data Table

Easily export your quotes and invoices as detailed tables, including all standard and custom fields, so you can quickly analyze details or maintain records. You can export quote and invoice data as an XLSX or CSV file (such as Excel) by clicking the Export Table button in the upper right of the table page. The export will contain columns on all data available, from basic invoice details to specific custom fields. 

You should then receive an email containing a link to download the export. The link will expire after 2 hours, so if you miss the window, you will need to start the export process over.

Change the Results Per Page to Export More

Paycove shows 25 quotes/invoices per page by default. However, you can increase this quantity to be able to export more invoices per page, without needing to export all invoices. For example, if you changed the results per page to 100, you would then be able to export single pages containing 100 invoices each. Change the results per page at the bottom of the page.

Export Filtered Results

You can use search filters to show only particular invoices, and then export only those invoices. Learn more on filtering here.

Download as PDF

Paycove allows you to download your quotes/invoices as PDF file type. You can download a single PDF by following the simple steps outlined here. Or, you can choose to do this in bulk to increase your efficiency by using the Bulk Actions option. To do so, just check the box next to each quote/invoice number, mass select several, or click the box at the top of the table to "select all" in view. Then click the Bulk Actions dropdown and select Download PDFs, and click Apply. (Remember you can select up to 100 at once by changing your results per page).

Paycove will then send you an email with a zipped file of the selected PDFs. The email will be titled PDF Export Complete. Like the other method, you will have 2 hours to download the files, once you receive the email.

Exporting Data Tables vs. Downloading as PDF

Downloading as PDF - as opposed to exporting a data table - essentially retains all the formatting and styling of the original quote/invoice, including branded coloring, easy-to-read tables, text, and values. In other words, your invoices will still look like invoices, and not appear as data in a spreadsheet. Be aware that your PDFs will not include logos: image files can be quite large, so this is a measure taken to save valuable space.
